AI venue finder
The venue finder that actually finds the venue.
Tell Comtev the date, the headcount, the city and the budget. Within minutes it has a ranked shortlist, has asked every venue on it whether your date is free, and is handling the replies. You pick. It confirms the booking.
Free to start, plans from £79 a month. Venues pay Comtev nothing, so the shortlist is yours, not theirs.
- Minutes
- from a typed brief to a ranked shortlist
- Same hour
- availability requested from every venue on the list
- 4 channels
- WhatsApp, SMS, email and voice, so venues answer where they actually answer
- £0
- commission from venues. Ever.
An AI venue finder reads your event brief, searches the market for venues that fit, and then does the work a venue-finding agency charges for: it requests availability, handles the back-and-forth, negotiates the rate and confirms the booking. Comtev does this for UK corporate events on plans that start free, and every hold and quote lands in one live budget that a named approver signs off.
Brief to booked, in four steps you mostly watch.
- 01
Write the brief. Badly, if you like.
A date or a range, a headcount, a city, the feel you want and the budget you have. Thirty seconds. Comtev fills the gaps with questions, not assumptions.
- 02
The shortlist arrives ranked.
Capacity fit, location, layout, what each venue is known for and the watch-outs. Ordered by fit to your brief, not by who paid to be at the top.
- 03
Availability is requested while you read.
Comtev contacts every venue on the shortlist over WhatsApp, SMS, email or a phone call, asks for your dates, chases the ones that go quiet and reads the replies back into the list.
- 04
You choose. Comtev confirms.
Pick the venue. Comtev negotiates the rate, agrees the terms, confirms the booking with the venue on your behalf and drops the cost into the event budget for sign-off.
A venue-finding agency, and the same job done by software.
| Topic | Venue-finding agency | Comtev |
|---|---|---|
| Time to a shortlist | A call first, then two to five working days | Minutes, from a typed brief |
| Who the venue pays | The agency, through commission on your booking | Nobody. Venues pay Comtev nothing |
| Availability checks | Emails from a coordinator, chased when remembered | Every venue asked the same hour, chased automatically |
| Comms with the venue | In the agency's inbox | Handled by Comtev, every message logged on the event |
| Negotiation | Depends on the account manager | Comtev pushes on rate and terms and shows you the result |
| Booking | The agency confirms, you sign | Comtev confirms with the venue; spend waits for your named approver |
| What it costs you | Built into the venue's price | A plan from £79 a month, free to start, whatever the venue costs |
Venue platforms such as Hire Space, HeadBox and Tagvenue publish venue-side pricing on their own sites, as commission on bookings or a listing subscription. The venue builds it into the price you pay. Figures vary, so ask whoever you use.
What you get that a catalogue cannot give you.
Every plan has the tools below. Nothing here is a roadmap.
- Any venue, not a catalogueComtev searches the open market, so a members' club, a university hall or a brewery taproom can make the list. You are not shopping inside someone else's inventory.01
- Decision axes, not brochuresEach venue comes with capacity fit, travel time for your guests, layout notes and the things that tend to go wrong there, written for the person who has to decide.02
- Holds and quotes land in one budgetEvery hold, quote and negotiated rate sits in the event budget next to catering, AV and travel. Try a scenario, then share a frozen proposal.03
- Nothing is charged without a yesSpending routes to a named approver with a ceiling, on Slack, push or email. The approval history stays with the event.04
- Flights and rooms from the same briefIf people are travelling, Comtev prices flights per named traveller and compares room blocks, and books both in-app once approved.05

How fast is the AI venue finder, honestly?
A ranked shortlist is usually ready within minutes of the brief. Availability depends on venues answering, so Comtev asks them all at once over the channel they actually use and chases the quiet ones. You normally have dates confirmed in hours rather than the days an email round takes.
Does Comtev book the venue, or just find it?
Both. Once you choose, Comtev negotiates the rate and terms, confirms the booking with the venue on your behalf and records it on the event. The venue's contract and invoice stay between you and the venue. Flights and hotel rooms are booked in-app after approval.
Is the shortlist biased towards venues that pay you?
No. Venues pay Comtev nothing. You pay for a plan, so the ranking has exactly one customer, and it is you.
Can it handle London, Manchester and Edinburgh in the same brief?
Yes. Give it one city or several and it searches and requests availability in each, then shows the options side by side with travel costs from your attendees' home cities.
What if I already have a venue in mind?
Add it. Comtev will request availability, negotiate and confirm it the same way, and still show you two or three alternatives so you can see whether the price is fair.
Who is this for?
In-house event teams, executive assistants, operations and people teams at UK companies. Agencies and freelance planners use it for client events too; the budget and the proposal can be shared with the client.
Bring a venue brief to the demo.
A date, a headcount and a city is enough. We will run it live, and you will leave with a real shortlist.
