For a corporate group hotel booking, start with room nights by date, room type, arrival pattern and payment responsibility. Ask hotels to quote the same requirements, then compare the total stay cost and the terms for releasing unused rooms or changing names. The cheapest headline room rate can become an expensive choice if the attendance assumptions change.
This guide helps an EA or event lead prepare a group request. It does not assume that every hotel uses the same group threshold or contract terms.
Count room nights before requesting a rate
An event with 40 attendees does not automatically need 40 rooms for two nights. Some guests may be local, some may share under company policy and others may arrive a day earlier.
Use a demand table before collecting the final names:
| Date | Single rooms | Twin rooms | Early arrivals or late departures | Status |
|---|---|---|---|---|
| Night before the event | [number] | [number] | [requirements] | Estimated |
| Main event night | [number] | [number] | [requirements] | Estimated |
| Additional night | [number] | [number] | [requirements] | Awaiting approval |
For an illustrative calculation, 20 rooms for two nights means 40 room nights. Check whether breakfast, local charges, parking and transfers are included before multiplying the quoted rate.
Send one group accommodation request
Include the dates, room-night table, preferred location, event venue, access requirements, payment route and deadline for a reply. Ask for the following in writing:
- Rate by date and room type, with currency and tax basis.
- What is included, such as breakfast or meeting space.
- How long the rooms and rate can be held.
- Deposit and balance dates.
- The deadline and conditions for releasing unused rooms.
- Cancellation and no-show charges.
- Name-change rules and the rooming-list deadline.
- Check-in arrangements for staggered or late arrivals.
- Who handles changes and urgent issues.
Group policies vary. For example, Thistle's own group-booking page describes an offer for smaller corporate groups with room limits that depend on hotel size. That is a supplier-specific example, not a threshold to assume across the market. Reconfirm the current offer directly when requesting a quote.
Compare total cost and exposure separately
Put each quote against the same room-night assumptions. Show the stay total in one column and the amount at risk if attendance falls in another. Ask the hotel to clarify ambiguous release terms rather than guessing what an “allocation” includes.
Also compare the location operationally. A lower room rate farther from the event may require extra transfers, earlier departures and a separate transport owner. Put those costs into the event budget before making the recommendation.
Build the rooming list when the allocation is agreed
Use columns for attendee reference, name as required by the hotel, arrival and departure dates, room type, booking reference and status. Keep personal requirements in a restricted channel for the staff who need them; a widely shared event schedule should not become a passenger or rooming database.
Mark changes as requested, acknowledged or confirmed. A message asking the hotel to change a name is not confirmation that the booking has changed. Keep one owner responsible for updating the list after acknowledgement.
Give arrivals an owner
Before travel, send guests the hotel name, exact address, check-in information, payment expectations and an event-team contact. Ask the hotel who handles late arrivals and how the lead organiser receives unresolved issues.
Use the event travel management checklist to connect flights, rail and transfers to the accommodation plan. Review attendance changes before any room-release deadline.
Comtev can estimate hotel options alongside attendee travel and bring costs into the event budget. Its in-app hotel booking capability does not mean it automatically secures negotiated group room blocks or manages a hotel's allocation contract. See Travel & stays and use the supplier's confirmed terms for any group agreement.
FAQs
How many rooms count as a group hotel booking?
The threshold depends on the hotel and offer. Ask the property directly rather than assuming a universal number of rooms qualifies for a group rate.
What is a rooming list?
A rooming list records who is staying, arrival and departure dates, room types, booking references and confirmation status. Collect only the information needed for the booking and share it with the people handling it.
Is the lowest group hotel rate always the best option?
Compare the full stay cost, transfer needs, payment dates and cancellation or release exposure. A lower rate may carry less flexible terms, so the best choice depends on the event's attendance certainty.
